Day of Coordination Package $2700

Day of Coordination but so much more! Our Day of Coordination package is perfect for the go-getter couple that feels comfortable planning a majority of their wedding, with additional guidance helping tie up loose ends 2 months before the big day. We are also there to conduct the rehearsal and onsite from set up until breakdown on your wedding day. See below for more details!


Pre Wedding

  • Initial in person or phone consultation to get full wedding day vision and vibe
  • Access to our personally curated vendor referral sheet 
  • Review of client contracts and service agreements from all vendors after they're final
  • Limited communication throughout planning process with a bulk of our communication 2 months prior to the wedding
  • Creation of detailed wedding day timeline 
  • Confirm timing and details with all vendors ~4 weeks before wedding
  • Rehearsal cueing 1-2 days prior to wedding- **Rehearsal Dinner Coordination is priced separately but can be tailored with this package.
  • Review & collection of your room layout/floor plan
  • Final Details Call roughly 1 month prior to the wedding day and offer feedback and our professional guidance to assist in tying up loose ends


Wedding Day

  • Coordinate all aspects of wedding 
  • No cap to the hours we are there on your big day! We start when we need to be there and are there until the last dance.
  • Oversee deliveries and any rental installation pieces
  • Set up/break down clients decorations including welcome table, centerpieces, gift & dessert table
  • Distribute final payments and gratuities
  • Provide Wedding day ‘emergency’ kit
  • Set up stationary and signage (seating chart, place cards, menus, programs)
  • Oversee room flip if necessary
  • Conduct sound and mic check with DJ, officiant and anyone mic’d 
  • Ensure steady flow of the day
  • Manage any ‘surprises’ throughout the day
  • Coordinate with MC throughout the event (ceremony cueing, music changes, speeches, Grand Entrance, dances etc.)
  • Oversee safe return of gifts, cards, valuables, and sentimental items to location
  • Coordinate exit ceremony (sparkler exit, getaway car etc.)
  • Coordinate rental return via client or rental company-Rental company is responsible for boxing up and breaking down their own equipment.
  • Assistance with smaller Will-Call rental pick up and return for additional service fee
  • Box up client décor for pick up that evening or the following day-ensuring no immediate responsibilities for B&G following your reception
  • Ensure your pre-arranged clean up team knows your venues cleaning protocol following the reception if required


*Please note that for weddings with an anticipated or final guest count over 175 people or events taking place at a private estate wedding or venue hall where a majority of resources and labor are outsourced there will be a 17% service fee.  

While we love the excitement and creativity of all weddings, the amount of attention, organization and detail that goes into these types of celebrations are elevated and thus the service fee is required.

                                                                     

Partial Planning Package $5700

The Partial Planning package is our most popular package for couples planning a destination Central Oregon wedding.


Pre Wedding

  • 60 min Kick Off to Planning call
  • Personally curated vendor referral sheet and tailored recommendations  
  • Consistent & timely communication throughout the planning process 
  • Three scheduled pre-wedding check in calls typically slotted for the 8 month, 6 month and 3 month mark from your wedding day (60 Minutes Each) 
  • Customized client planning platform for access to our working timeline, to-scale venue floor plan layout to create seating chart, design board and more.
  • Collect and review all vendor contracts 
  • Walk of Ceremony and Reception locations prior to the wedding to ensure that all details and visual cues have been accounted for 
  • Review of clients mood boards for overall style for the day
  • A condensed design board presentation based on your vision for you to take action with for rentals, florals, signage
  • Design consultation with floral and rental company recommendations
  • Review and proof BEO (Banquet Event Order) provided by Wedding Sales or Catering manager 
  • Contact vendors and service providers for arrival times and communicate venue’s procedures for unloading, set-up and tear down
  • Confirm all vendor orders and quantities on rental items after final RSVPs come in
  • Distribute client-approved timeline to all vendors about 1 month before the wedding  
  • Final planning meeting 1 month prior to your wedding 


Rehearsal 

  • Coordinate and cue rehearsal at ceremony location 1-2 days prior to ceremony  
  • Guidance on ‘traditional’ Order of Ceremony
  • Orchestrate full rehearsal of ceremony, including processional and recessional, with bridal party, family, and Officiant  

** Rehearsal Dinner Coordination is priced separately but can be tailored with this package. Additional assistance would include; choosing your venue & caterer, site tour, creation of Banquet Event Order and timeline, décor assistance. 


Wedding Day

  • On-site coordination and management of entire wedding day until event concludes 
  • Supervision of vendor arrival and set-up day-of
  • Additional onsite assistant day-of (75+ guests)
  • Ensure proper placement of all DIY decor, signage, linen and rentals
  • Assist banquet staff regarding set-up and compliance with floor plans and special requests
  • Instruction on seating plans and special arrangements for ushers 
  • Coordination with Officiant, musicians, readers and soloists before ceremony begins 
  • Organization of processional line-up and cues 
  • Preparation of the Bride for her walk down the aisle 
  • Distribution of all personal floral pieces including bouquets, pinned boutonnieres, corsages, and flower girl & dog of honor accessories 
  • Final touch-ups to ceremony and reception areas prior to guest arrival 
  • DJ & photographer/videographer cues of major happenings throughout the course of the day (grand entrance, first dances, cake cutting, sunset shots, song selection coordination)
  • Distribution of all gratuities to specified vendors  
  • Coordination of bride & groom’s luggage to honeymoon suite if within 1 mile of venue
  • Wedding day emergency kit
  • Oversee safe return of gifts, cards, valuables, and sentimental items same day
  • Coordinate exit ceremony (sparkler exit, getaway car etc.)

What's the main difference between the Full Service Package and Partial Planning Package? Everything! We dive head first into your wedding and take full responsibility for planning, designing, and executing your wedding day. Think of us as your favorite 3rd wheel who takes on the full time job of wedding planning so you can live out your daily life while we handle the nitty gritty. 


Consultation
We love to introduce ourselves and get to know you by grabbing coffee or a local brew and listen to your wedding-day vision, learn your priorities and understand what is most important to you. This will give us a snapshot of your personal style so we can begin building your dream day. A lot of our couples are planning a destination wedding and we are happy to meet at any stage throughout the planning or chat virtually throughout. 


Inspiration Board Presentation  

We will create a cohesive, compartmental mood board inspired by your wedding day style, vision and color pallette. We will follow any wedding boards you have created and run with it to create a customized style unique to you. We will conduct phone and in-person Design Meetings as needed to discuss the details and suggest creative rental companies while having fun with your wedding day design. 


Initial Vendor Introductions, Meetings & Appointments 

We will personally schedule appointments and be the liaison between you and all of the venue coordinators, vendors and suppliers you need and attend appointments with you or on your behalf. We will create a customized list of preferred vendors and pair you with the vendors that best match your style and attend any appointments, site tours or tastings within 50 miles of Bend, Oregon unless otherwise arranged.

  

This includes but not limited to; 

  • Venue Location Hunting – We will provide our venue suggestions and scouting based on your wish list & budget and accompany you on tours and tastings. We encourage you to invite us to join on any conference calls or on-site meetings with their wedding sales teams.


  • Photographer & Videographer – We will provide suggestions of our favorite photographers and videographers based on your style and budget. We initiate communication, check availability and pricing and arrange for a consultation.


  • Rentals – We will partner you with our favorite rental companies and provide recommendations to make your day unique to you. This includes placing rental orders, itemized pricing sheets and arranging for delivery, set up and break down.


  • Wedding Cake & Desserts– We will suggest our favorite tried and true bakers based on your wedding cake & sweets vision. Not a big cake fan? We love going off what emulates you, whether it is a mobile ice cream truck, pies or donuts. We can discuss your cake and/or dessert options and design. 


  • Design & Styling – Let us style out your wedding day! We take elements from our design call and your mood boards or inspo photos (or start from square 1) to create compartmental mood boards on our planning portal and utilize these to procure rental, floral, and signage quotes.


  • Florist – We will partner you with our vetted florists who we find to be a a good fit for your floral vision & budget. We initiate a proposal request and consultation and provide them with our thoughtfully designed mood boards & wedding related details to streamline the process.


  • Invitation Selection & Signage – We will assist in creating a design for your Save the Dates & Invitations to go with your theme and suggest our favorite designers or stationers to match your style. We ensure you have all the customary signage on your wedding day and curate a proposal for the look and style to match your overall theme. *Stuffing, weighing and mailing of invites not included but may be with your chosen stationer.


  • Hair & Make Up –We will review your ideal wedding day hair and make up style and take the reins on partnering you with the best stylist to meet the vision for you and your bridal party.


  • DJ vs. Band – We have long since weeded out those awkward DJ's or typical wedding cover bands and will provide our top recommendations with the best in the biz. Interested in a quartet for the ceremony or acoustic guitar, we got you covered!



Pre-Wedding Day 

  • Consistent & timely communication throughout the entire planning process 
  • Unlimited scheduled phone & email correspondence from day of contracted service through your wedding day with follow up's after.
  • Access to your customized wedding planning platform where we create your tailored compartmental mood boards to assist with a cohesive design elements for the day along with our working timeline, custom checklist, to-scale venue interactive floor plans, guest list spreadsheets and displayed menu selections to share with venue sales manager or catering by final deadlines.
  • Direction with executing the design and curating rental proposals 
  • Assistance with design, preparation, and curating quotes for stationary and signage (Save the dates, Invites, seating charts, table numbers, bar and welcome signs etc.) Stuffing, weighing and mailing of invites not included but may be with your chosen stationer.
  • Review and proof BEO (Banquet Event Order) provided by catering manager 
  • Contact vendors and service providers for arrivals time and communicate venue’s procedures for unloading, set-up and tear down  
  • Confirm all vendor orders and quantities on rental items before cut off dates based on your final RSVPs
  • Distribute preliminary timeline to all vendors roughly 1 month before wedding and final timeline ~2 weeks before the wedding 
  • Assistance with completing other vendor details guides- ex; DJ, rentals, florists 
  • Hospitality and Transportation management

Rehearsal

  • Coordinate and cue rehearsal at ceremony location 1-2 days prior to ceremony  
  • Guidance on ‘traditional’ Order of Ceremony
  • Orchestrate full rehearsal of ceremony, including processional and recessional, with bridal party, family, and Officiant  

Wedding Day

  • Additional assistant readily available onsite day-of the wedding

  • Coordination with Officiate, musicians, readers and soloists before the ceremony begins
  • Ensuring proper placement of ceremony seating cards, programs, reception escort cards and place cards, guest book, gift table favors, and other ceremony & rehearsal items 
  • Assist banquet staff regarding set-up and compliance with floor plans 
  • Instruction on seating plans and special arrangements for ushers 
  • Assisting the bride & groom, family and wedding party with preparation and photo schedules 
  • Cuing for major traditional events (ceremony, Grand Entrance, first dances, etc.)
  • Distribution of all personal floral pieces, including bouquets, boutonnieres, pinning corsages, flower girl or flower dog accessories :)
  • Final touch-ups to ceremony and reception areas prior to guest arrival 
  • DJ, photographer, and videographer cues of major happenings throughout the course of the day so no moment is missed. (grand entrance, first dances, cake cutting, sunset shots, song selection coordination)
  • Preparation of the Bride for her walk down the aisle 
  • Collection and packing of any gifts and personal items such as toasting glasses, cake topper, cake knife and server, to be safely returned to discussed location 
  • Coordination of bride & groom’s luggage to honeymoon suite (if within 1 mile of reception location).

If you see yourself needing more assistance planning a memorable weekend of events for you and your guests, let us take the creative reins for your Welcome Social, Rehearsal Dinner, wedding party river float or Farewell Recovery Brunch. 


This all inclusive and completely customizable weekend (or just one additional day) package includes planning and coordinating activities in the day(s) leading up to your wedding and the farewells after. 

 

Leading up to your Event

  • Initial 60 minute consultation to listen to your event vision and provide our professional guidance
  • Providing venue recommendations and scouting based on vision and guest count 
  • Create layout and flow for the day
  • Transportation coordination
  • Review clients design budget & provide style guidance
  • Provide a list of AAE Rentals for DIY decor
  • Enable clients to ship decorations to coordinators private residence prior to event ~2 weeks before wedding day
  • Review contracts from all parties involved to ensure that everything is covered
  • Final pre-rehearsal detail meeting with client roughly 1 month prior to event

Day-Of Expectations

  • Point person for the venue & vendor team
  • Set up decorations prior to event
  • Coordinate rental companies or florists pick up/breakdown of equipment
  • Coordinate music or audio/visual needs
  • Manage pre-determined event layout and flow
  • Ensure all parties involved have proper insurance in relation to venue and state requirements
  • Coordinate end of the night expectations according to venue and rentals
